Case Study

History:

Tayview Medical Practice is a long established teaching practice. The Practice is split into two premises - Newport and Tayport - approximately 3 miles apart and covers the Taybridgehead area of North East Fife.

The practice population numbers approximately 10,000, with slightly above average numbers of elderly and nursing home patients.

Nessco were approached to assess their current telephony set up and took the opportunity to draft up an analysis of the best possible solution to fit in with what Tayview Medical Practice required.

The Tayport premises had an ageing BT Meridian telephone system, which required to be replaced with newer technology in order to provide the best solution for the practice. The Newport premises was re-locating to new purpose built premises, and again needed the best solution to fit in with their future requirements.

High telephony costs were an issue with minimal functionality; which raised the question as to which telephony system would be more suited to the Tayview Medical Practice. The practice needed to rely on a system which was beneficial and effective for all staff and that would have the necessary flexibility that was essential for their work force. In order to minimise training requirements and to enable staff to move easily between sites it was preferred that a similar solution be deployed in both practices.

Proposal:

Nessco evaluated the effectiveness of a dedicated link between the two sites for voice calls however in order to strengthen and benefit the practice Nessco also had to ensure that the correct system was chosen for both sites, that would provide the features required in the most cost efficient manner.

Nessco wanted to provide an increase in call volume capacity, effective handling of that increased volume, improvements in business flexibility, reduced call costs and of course business continuity.

When evaluating the feature and cost evaluation; Nessco opted to propose to install a Panasonic KXTDA200 system and TVM Voicemail System in Newport and a Panasonic KXTDA15 system and TVM Voicemail in Tayport along with ISDN2 Lines at both practices. The features required did not necessitate a dedicated voice link as previously envisaged as the Panasonic systems were capable of providing dummy extension numbers to map to the remote sites direct dial numbers.

The Panasonic range of systems which also included the KXTDA30 and KXTDA100 had previously been tried and tested in many medical practices by Nessco and had proven itself as a highly robust system, flexible enough to cope with the many variations required by numerous medical practices throughout the country.

The KXTDA200 is a hybrid IP PBX system and was able to be configured to meet their present needs and expand as their applications grow or change. The KXTDA200 is a next generation product, combining PBX reliability with IP technology offering efficient and flexible communication.

The Panasonic KXTDA15 Phone System provides all of the functionality of KXTDA200 in a compact package. The Panasonic KXTDA15 is the perfect business telephone system for the smaller practice. This hybrid PBX enabled for Voice over IP (VoIP) is the latest piece in the KXTDA jigsaw and supports up to 8 lines and 20 extensions as well as an IP connection.

Nessco also upgraded lines via their Network Services division and provided DDI numbers to each extension. This provided the facility to effectively offer desk to desk dialling at very little additional cost and without the requirement of a dedicated link.

Nessco also provided voicemail and auto-attendant, cordless headsets and display handsets.

Outcome:

Due to installing this type of system, both practices can now dial extension to extension from site to site without the need for expensive dedicated circuits.

Although, having implemented this; Nessco has also reduced ongoing telephony call spend ensuring both practices are cost effective.

Other features include:
• Auto-attendant ensuring management of incoming calls are simplified.
• In queue messaging ensuring patients know they are waiting
• Operators can move around their office whilst still on the phone.
• Through the display on the telephones, staff can now see who is calling from an external line.
• Messages can now be left on voicemail for each extension allowing better management of time
